SafeAddress application privacy and retention

What this policy covers
This policy covers information entered into the protected SafeAddress application at app.reentryaddress.com. It applies to individual, family, housing-provider, professional, organization, authorized-reviewer, and administrator accounts. The public Reentry Address website has the same operator and links to this policy.
Information SafeAddress stores
- Account information, including name, email, password hash, role, organization membership, account status, and sign-in timestamps.
- Structured property addresses, coordinates, screening-profile selections, preliminary results, nearby-location evidence, source status, and organization assignment.
- Housing-provider requests, submitted listings, contact details, moderation decisions, listing reports, and availability confirmations.
- Payment and access records, including plan, credits, purchase status, transaction references, subscription status, and named-seat membership. PayPal handles card and payment-account credentials.
- Security and audit events, including action type, time, actor, organization, and hashed network or browser signals.
Do not enter victim information, Social Security numbers, medical records, complete criminal-history files, or confidential court documents. Use initials or a case identifier when a full name is unnecessary.
Registry information
SafeAddress imports a public Georgia Bureau of Investigation registry dataset for controlled geographic review. Ordinary accounts receive counts and possible same-address warnings without identity details. Administrators and separately authorized reviewers may receive permitted identities, exact registered addresses, conviction fields, and mapped points. Every restricted view is logged. Payment never grants this access.
The official GBI CSV does not contain photographs. SafeAddress does not scrape or invent them. A nearby record creates a review flag, not an automatic housing denial.
Purpose and access
SafeAddress uses application data to validate addresses, produce preliminary screening evidence, manage authorized accounts and organizations, administer housing listings and billing, secure the service, investigate errors, and meet legal obligations. Server-side role and organization checks limit access. Support access must relate to administration, security, troubleshooting, or an authorized request.

An executed agency or organization agreement may set a shorter schedule. A documented legal hold, dispute, security investigation, or mandatory recordkeeping rule may pause deletion for the affected record only.
Deletion, correction, and access requests
Users can delete saved screenings from the screening history. To request account closure, correction, export, or deletion of other information, email hello@reentryaddress.com from the account email. SafeAddress will verify the requester and explain any record it must retain. Closing an account does not erase required payment, contract, security, or legal-hold records.
Service providers and disclosure
SafeAddress uses service providers for hosting, database services, maps and address validation, email delivery, payment processing, and security. They process information to provide those services under their applicable terms. SafeAddress may disclose information when authorized by the account or organization, required by law, or necessary to protect people, rights, systems, or the service.
SafeAddress does not sell protected application data to advertisers. It does not permit registry information to be redistributed outside the authorized case workflow.
Incidents
Suspected unauthorized access, disclosure, alteration, or loss must be reported to hello@reentryaddress.com. SafeAddress will contain and investigate the event, preserve relevant evidence, assess affected information and people, notify customers or authorities when required, correct the cause, and document closure.
HUD-related workflows
Organizations using criminal-history information for covered HUD housing decisions remain responsible for consent, permissible use, confidentiality, dispute rights, and destruction when the purpose ends. See 24 CFR part 5, subpart J. SafeAddress does not replace the housing authority’s records-management system or decision process.
